Privacy Policy.

At Bradfield Tuition, we take the privacy of our students and families seriously. This policy explains what information we collect, why we use it, who we share it with, and the choices and rights available to you.

Who we are

Bradfield Tuition is an independent tutoring business run by Oliver Bradfield and Maria Bradfield, trading as Bradfield Tuition.

We provide private tuition and educational support for students studying subjects at KS3, GCSE, IGCSE, A-Level and International A-Level.

Oliver and Maria are responsible for deciding how and why personal information is used by Bradfield Tuition.

Parents and guardians normally hold the account relationship with us and authorise their child’s use of the Bradfield Tuition App. Students also have privacy rights of their own, so we are introducing simpler, age-appropriate privacy information within the student experience where appropriate.

What information we collect

The information we collect depends on how you use Bradfield Tuition.

Parents and guardians

We may collect:

  • your name and contact details;
  • messages and enquiries you send us;
  • information you provide about your child’s tuition needs;
  • lesson and scheduling information;
  • invoices and payment records; and
  • communications between you and Bradfield Tuition.

Students

We may collect information such as:

  • first name and surname;
  • year group;
  • subjects and exam boards;
  • date of birth and school, where provided;
  • academic goals or information about what the student would like to achieve;
  • lesson attendance; and
  • information needed to tailor tuition to the student.

Learning and progress information

One of the purposes of the Bradfield Tuition App is to create continuity between lessons and help us understand how each student is progressing.

Depending on the features a student uses, we may collect:

  • practice and flashcard results;
  • answers to questions and assessments;
  • mock exam attempts;
  • confidence and readiness check-ins;
  • revision activity;
  • areas of strength and difficulty;
  • lesson evidence and tutor observations;
  • tutor notes and lesson summaries; and
  • other information about learning and progress.

We use this information to personalise support, help tutors understand what a student needs and improve continuity between lessons.

Assessments

Where a student completes an assessment through Bradfield Tuition, we may store their answers, results, analysis, AI-assisted diagnostic information and tutor recommendations.

AI Tutor conversations

Students may be able to use AI Oli or AI Maria within the Bradfield Tuition App.

These conversations are stored so that students can continue where they left off and so that Bradfield Tuition can understand where a student may need additional support.

Oliver and Maria can see these conversations.

We make this clear within the student experience. AI Tutor conversations should not be treated as private conversations between a student and an automated system.

Group lessons

For some group programmes, lessons may be recorded and made available to families enrolled in that group.

Where recording applies, this is explained separately in the relevant group terms and notices.

Website and app information

When you use our website or app, our systems and service providers may automatically process limited technical information needed to operate and protect the service, such as:

  • IP address;
  • browser or device information;
  • login and authentication information;
  • security events;
  • technical or error logs; and
  • error and crash reports used to identify and fix technical problems.

Our error monitoring is configured to avoid including sensitive content such as lesson notes, messages and AI Tutor conversations.

We may use cookies or similar browser storage where necessary for login, security and core website or app functionality.

We do not sell student or family information or use it for third-party advertising.

Where information comes from

Most information comes directly from parents, guardians and students.

We may also receive information from:

  • tutors working with the student;
  • activity within the Bradfield Tuition App;
  • payment and technology providers where needed to operate the service; and
  • communications or services a family chooses to use with us.

Why we use personal information

We only use personal information where we have a lawful reason to do so.

For most of what Bradfield Tuition does, this is because information is needed to provide and administer tuition, meet a legal obligation, or because we have a legitimate interest in providing effective and personalised educational support.

Where we rely on legitimate interests, we consider the impact on the people involved, particularly because many of our users are children.

If we ever rely specifically on consent for a particular use of personal information, we will make this clear when we ask for it. Consent can then be withdrawn.

A parent’s decision to create or authorise an account for their child is not intended to act as blanket consent for every form of data processing.

How we use AI

AI supports a number of features within Bradfield Tuition, including:

  • AI Tutor chat through AI Oli and AI Maria;
  • lesson summaries;
  • assessment analysis and recommendations;
  • personalised flashcards, mistake-pattern feedback and practice content;
  • flashcard answer checking; and
  • pre-lesson readiness and other learning support.

Our main AI provider is Anthropic, which provides Claude.

We send the content needed for the relevant AI feature to work. Under our use of Anthropic’s commercial services, Anthropic does not use our inputs and outputs to train its models by default.

AI can make mistakes. It is used to support tuition rather than replace professional judgement.

Bradfield Tuition does not rely on AI alone to make decisions that have a legal or similarly significant effect on a student.

Oliver, Maria or the relevant tutor remains responsible for important educational decisions.

Learning profiles and personalisation

Information from lessons, assessments, practice and app activity may be brought together to help us understand how a student is learning.

This might help us identify:

  • areas of confidence;
  • areas that need more work;
  • patterns in performance;
  • relevant previous learning; and
  • useful next steps.

Technology and AI may assist with this, but important tuition decisions remain subject to human judgement.

The purpose is to make tuition more useful and personalised, not to make important decisions about students without human involvement.

Welfare and safeguarding

The safety of our students is extremely important to us.

Our app may automatically check AI Tutor conversations and other written student responses for indications that a student could be struggling or that there may be a welfare or safeguarding concern.

A flag does not trigger an automatic safeguarding action.

If something is flagged, it is shown privately to Oliver or Maria, who review it and decide whether any follow-up is appropriate.

Sometimes welfare or safeguarding information can include sensitive information, such as information about a student’s health or wellbeing. Where this is classed as special category personal data, we only process it where data-protection law provides an additional lawful condition for doing so, including safeguarding children where applicable.

If we reasonably believe a child or another person may be at serious risk, we may retain or share relevant information with people or organisations who need it to help keep them safe.

We will only share what we reasonably believe is necessary in the circumstances.

Who we share information with

We do not sell personal information.

We use trusted technology providers to operate Bradfield Tuition. Information is shared with them only where needed to provide the relevant service.

These currently include:

  • Supabase - database, authentication and app infrastructure, hosted within the EU;
  • Anthropic - AI features through Claude;
  • Stripe - card payments. We do not see or store full card numbers;
  • Resend - email delivery;
  • Google - services such as Calendar, Meet and Drive used to organise and deliver tuition and, where applicable, make group lesson recordings available;
  • Firebase / Google - push notifications;
  • Vercel - application hosting and delivery;
  • Sentry - error monitoring, to help us identify and fix technical problems; and
  • Microsoft - where a tutor uses OneNote to prepare or connect lesson evidence linked to a student’s learning record.

We may also share relevant information with tutors or contractors working through Bradfield Tuition where they need it to teach a student or provide the service. They should only have access to the information reasonably needed for their role.

We may also disclose information where required by law or where reasonably necessary for safeguarding.

International processing

Bradfield Tuition works with families internationally, and we use technology providers that operate in different countries.

This means personal information may be stored or processed in a country different from the one in which you live.

Where UK or other applicable data-protection law requires safeguards for an international transfer, we use appropriate arrangements provided through our service providers, such as recognised adequacy arrangements or approved contractual safeguards.

You can contact us if you would like more information about how a particular service provider processes personal information.

How long we keep information

We keep account, lesson and learning information while a student is actively using Bradfield Tuition.

When a family stops using the service, we do not keep their information indefinitely simply because we can. We retain it only for as long as reasonably needed, considering things such as:

  • whether the student or family is likely to return;
  • whether we may need the information to answer questions or resolve a dispute;
  • the nature and sensitivity of the information;
  • safeguarding requirements; and
  • tax, accounting or other legal obligations.

Information that is no longer reasonably needed is deleted or anonymised.

Financial records such as invoices and payment history may need to be kept for longer for tax, accounting or legal purposes.

Safeguarding records may also need to be retained where this is necessary and proportionate to protect a child or meet safeguarding obligations.

Communications and notifications

We send some communications because they are needed to run the service. These can include:

  • account and security messages;
  • invoices and payment information;
  • important lesson information; and
  • other essential messages relating to your tuition.

We may also send learning-related communications such as lesson summaries, weekly reports and reminders.

Parents can ask us to update their notification preferences by contacting us.

Push notifications require permission from the relevant browser or device and can be switched off through those settings.

Children and privacy

Bradfield Tuition is designed for school-age students, so children’s privacy is particularly important to us.

Parents or guardians normally arrange tuition and authorise their child’s use of the Bradfield Tuition App. However, the personal information we hold about a child relates to that child, and children have data-protection rights of their own.

We are introducing shorter, age-appropriate privacy explanations within the student experience, particularly when a feature uses information in a way a student should know about.

Where appropriate, parents can help a child exercise their privacy rights, but we will take the child’s age and understanding into account.

Your privacy rights

Depending on the circumstances and the law that applies, you may have the right to:

  • ask for a copy of personal information we hold;
  • ask us to correct inaccurate information;
  • ask us to delete information;
  • ask us to restrict how information is used;
  • object to certain uses of information;
  • receive certain information in a portable format; and
  • withdraw consent where we are relying on consent.

These rights do not apply in exactly the same way in every situation. For example, we may need to keep some financial or safeguarding information even if deletion is requested.

We may need to confirm who you are before providing or changing personal information.

We aim to respond to valid requests within the period required by applicable data-protection law, normally within one month.

Security

We take reasonable steps to protect the personal information entrusted to us.

This includes using secure authentication, trusted service providers, access controls and limiting access to information according to what is needed to deliver and administer tuition.

No online system can guarantee absolute security, but protecting student and family information is an important part of how we design and operate the Bradfield Tuition App.

Changes to this policy

Bradfield Tuition and our app will continue to develop, so we will review this Privacy Policy when our services or use of personal information changes.

The effective date and version number at the top of this page show when the policy was last updated.

If we make an important change to how we use personal information, we will bring it to the attention of affected families or students where appropriate.

If you are unhappy with how we handle a privacy concern and UK data-protection law applies, you have the right to complain to the Information Commissioner’s Office (ICO).

If another country’s data-protection law applies to you, you may also have the right to contact your local data-protection authority.
